Introducing CRM in Care Control Cloud: manage enquiries and maintain occupancy

Many providers manage enquiries and potential admissions across several places. Emails, phone notes, spreadsheets, or even paper forms. This can make it difficult to keep track of who has enquired, where they are in the process, and which rooms may become available.

That is why we have introduced CRM within Care Control Cloud.

This new feature gives you a simple, central place to manage enquiries and potential residents, helping you stay organised, plan ahead, and maintain occupancy within your service.

What is CRM?

 

CRM stands for Customer Relationship Management.

In simple terms, it is a system that helps you capture, track, and manage enquiries from people interested in your service.

Within care, this usually means:

  • Prospective residents

  • Family members making enquiries

  • Professionals referring individuals to your service

Instead of managing this information across different systems, CRM keeps everything in one place inside Care Control.

This means you always have clear visibility of potential admissions and the current status of each enquiry.

We have introduced CRM as an optional feature within Care Control to give you more flexibility and choice in how you manage your service.

We work with a wide range of care providers, and we recognise that not every service will need a full CRM solution. Because of this, CRM is available to all services as an optional feature at an additional cost, rather than being included as standard.

This means you can choose whether it is right for your service, based on whether you would benefit from better enquiry management, improved occupancy tracking, and a more structured admissions process.

Our goal is to give you the freedom to decide what works best for your service. CRM is there if you want it, and you can explore its value through a free trial before making any commitment.

We have developed this feature to support services of all sizes, whether you are looking to strengthen your enquiry handling, improve visibility of your admissions, or maintain consistent occupancy.

You can start with a free trial of the CRM feature to explore how it works within your service.

During the trial you will be able to:

  • Record enquiries

  • Manage potential residents

  • Track pre assessments

  • View your admissions pipeline and so much more!

This gives you the opportunity to see how CRM can support your occupancy planning before deciding whether to continue using the feature.

 

CRM pricing and free trial

 

If you choose to continue using the feature after your trial, the CRM feature is available for £15 per site, per month.

To move forward after your trial, simply contact our customer service team and they will arrange for the feature to be activated for your service. Once confirmed, the £15 monthly charge will be added to your existing Care Control direct debit.

There are no setup fees, and the feature integrates directly into your existing Care Control system.

What happens after the trial?

 

At the end of the free trial you will have the option to continue using CRM as part of your Care Control system.

At the end of your free trial, access to the CRM feature will come to an end.

If you would like to continue using CRM, simply contact our customer service team, who will arrange for the feature to be activated for your service. Once confirmed, the CRM feature will be added to your account at £15 per site, per month, and the charge will be added to your existing Care Control direct debit.

If you decide CRM is not right for your service at this time, no further action is needed and you will not be charged.

In order to use the new CRM Application, you will simply need to turn on this new feature within your system.

Important note:

Within your email – include your name, contact details and the name of your company. If you have more than one site, please specifiy if you want to activate CRM for all sites or any particular site. 

No. Once the trial has ended, you will not be charged. 

£15 per site – per month. 

You can use the CRM feature across all of your sites. This will mean that you will need to pay £15 per site.

Example: If I had 3 sites and I wanted to use CRM across all of them, that would be £45 per month for all 3 sites.

We understand that the CRM feature will not be essential for every service we support. That is why it is offered as an optional feature, giving you the choice to decide if and when it is right for your service.

CRM has been designed to give you greater visibility and control over your enquiries and admissions. By keeping all enquiry information in one place, tracking progress, and ensuring timely follow ups, it helps you stay on top of every opportunity. This reduces the risk of enquiries being missed or lost, which can ultimately lead to empty beds and potential loss of revenue.

To help you make an informed decision, we offer a 30 day free trial. This gives you the opportunity to explore the feature within your own service and see the value it can bring before choosing to continue.
