Dependency & Cost of Care

This guide will cover how to use the Dependency and Cost of Care tools on Care Control Windows. This feature has been designed to help your business determine the final cost of care for each of your service users. Care Control will look at each service user’s care plan and their level of need to calculate an approximate cost.

In the Administration of Care Control Windows, navigate to the Dependency / Cost of Care tool, which can be found under the Care Planning tab.

The Dependency Management window will open – this is the homepage for this feature. A list of Dependency Groups will be displayed. The Care Control Set is the default dataset, based on a time and motion study at several care homes to generate cost of care default values. This is then applied to the data produced on your system to generate cost of care and dependency for your organisation.

We recommend that you get to grips with the Care Control Set before attempting to create your own (Add New button).

Press Explore to continue.

Here, you will see your Care Review Domains and the different levels of need for each (low, moderate, high, very high). These are the levels set when completing a care review.

Press Explore next to a domain level to look at it in more detail.

Here, you can set time periods where the dependency and there for cost of care are different (day vs night shift).

Select Explore to view these in further detail.

Here, you can see the staff roles and minutes per day associated with this level of need. The cost generated for this area will depend on the staff role selected and minutes per day set.

The role and time can be amended via the Edit button if you feel the associated role or time should be different. For example, medication would be a nurse or senior carer as opposed to a care assistant.

Press Continue after making any changes to the role or time.

After viewing the individual areas, we can look at the other areas within this feature. Press Cost of Care from the blue buttons along the bottom of the window.

The ‘Cost of Care – Configuration / Analysis’ window will open. Here, you can view care costs, non-care costs, analysis summary and detail.

The first tab, Care Costs, is the cost of your staff per hour. You will need to enter values for hourly rate for each role. The True Cost will be automatically generated based on the hourly rate. Press the ‘?’ icon to read more about true costs.

The Non-Care Costs tab covers costs within your organisation, such as building insurance, council tax, heating, which need to be taken into account to generate an accurate cost of care. You will need to break these costs down into weekly costs and divide this by the number of service users you have.

The Analysis Summary tab allows you to generate a breakdown of costs for each service user. Select the Dependency Group and Service User from the drop-down lists, then press Load Data Set.

A weekly cost breakdown for the selected service user will be displayed, including the addition of the non-care costs.

The Analysis Detail tab shows a breakdown of the costs for each level of need that the selected service user requires, as well as the non-care costs in both daily and weekly hours.

Select a Dependency Group and Service User from the drop-down lists, then, press Load Data Set.

Back on the Dependency Management home page, select Analysis from the blue buttons along the bottom of the window.

The Hours Trend analysis will open. This report shows the variance in minutes between your Live Rota and the Dependency Values for each 15-minute interval over a 24-hour period. The values are averaged over the date range selected.

Next, press Dependency Rank.

 This report shows your service users in dependency order (high to low) as well as the associated required care hours per day and week.

Back on the Dependency Management home page, select Bulk Time Update from the blue buttons along the bottom of the window.

Here, you can see the times you have set and enter your own values in the Your Values column. Make sure to Save Changes after making any amendments.

Back on the Dependency Management home page, select View Matrix from the blue buttons along the bottom of the window.

The Matrix shows an overview on the data in your dependency groups.

Back on the Dependency Management home page, select Staff Roll Assignment from the blue buttons along the bottom of the window.

Here, you can assign a role to the area of dependency by selecting the Dependency Role from the drop-down list, then selecting the Staff Role you wish to assign.

Press Continue to save your changes.
