Introducing Cloud onboarding and the new HR access tab

Joining a new digital system should be simple and straightforward.

 

To make the setup process easier for providers, we are introducing a new Cloud onboarding process alongside a new HR access tab within the HR application in Care Control Cloud.

Together, these improvements simplify how new customers are set up when joining Care Control and give providers greater control over how staff access is managed across their organisation.

A simpler onboarding process in Care Control Cloud

 

Historically, onboarding a new provider has involved several manual steps, particularly when setting up staff accounts and permissions. This could make the initial setup process more complex and time consuming for both customers and our internal teams.

The new Cloud onboarding process helps streamline this experience.

During onboarding, the sales team will complete the initial setup using the onboarding tool. This includes creating super admin users for the organisation and its sites.

Providers can have more than one super admin, giving them flexibility in how they manage oversight across their service.

Super admins have visibility and control across all sites within the organisation, allowing them to manage users and settings at an organisational level.

From there, providers can assign site administrators for individual locations. Site administrators have the same permissions as a super admin, but their access is limited to the specific site they manage.

This ensures the correct access structure is in place from the very beginning.

The new HR access tab in staff records

 

Alongside improvements to onboarding, we have introduced a new HR access tab within staff records in the HR application in Care Control Cloud.

This allows managers to manage system permissions directly from an individual staff member’s profile, giving them a clearer and more flexible way to control access across their team.

Within the HR access tab, managers can assign access levels for different applications within Care Control Cloud, such as Care Planning, Consolidated Invoicing, and other system areas.

The available access levels include:

• None
• Read only
• Basic
• Advanced
• Administration

This means managers can control exactly what level of access a staff member has within each application, ensuring they only see and use the parts of the system relevant to their role.

By managing permissions directly within the HR application, providers can quickly update access for new starters, role changes, or team updates without needing to configure settings elsewhere.

How onboarding and HR access work together

 

The new onboarding process and HR access tab are designed to work together to create a smoother setup and management experience.

The onboarding tool ensures organisations are set up with the correct administrative structure from the start, while the HR access tab allows managers to easily manage staff permissions as their team grows.

Together, these features provide:
